Systems Are the Bottleneck

Most fundraising challenges aren’t actually about strategy.

They’re about systems.

I’ve worked with a number of small and decentralized organizations, and the pattern is almost always the same:

  • Donor data lives in multiple places
  • Grant tracking is spread across spreadsheets (and people)
  • Reporting takes hours longer than it should
  • No one has a clear view of the full fundraising pipeline

The team is doing great work—but the infrastructure hasn’t caught up.

And over time, that creates real limitations:
Missed follow-ups.
Unclear priorities.
Burnout from manual work.

The goal isn’t to build more complex systems.

It’s to build clear, usable ones that actually support how the organization operates—especially in decentralized environments where flexibility matters.

When systems are working well, everything else gets easier:
Better decisions
Stronger donor relationships
More sustainable growth

Curious how others are navigating this—what’s been the biggest systems challenge in your work?
